Change Management for new software

A big part of our role at Fruition is successfully implementing software right, the first time, and we do this by getting buy-in from everyone, not just Leadership.

Tips for getting your group to commit to an idea or initiative:

📢 Clearly communicate the idea and why it matters. Explain the rationale, benefits, and expected outcomes. Be transparent about what you're asking people to commit to.

👥 Involve the group early on. Get their input to shape the idea or initiative. People are more likely to commit when they feel ownership over something.

🏆 Connect it to shared values or goals. Show how the idea aligns with things the group already cares about or has prioritised. Leverage existing motivations.

🚶🏼‍♂️ Break it down into doable steps. A huge initiative can feel overwhelming. Break it down into smaller, more manageable commitments over time. Gain small wins first.

🙋🏼‍♂️ Address concerns transparently. Surface potential reservations or questions openly. Provide data, facts, and reassurance to build support.

👩🏼‍💻 Define clear roles and responsibilities. Rather than asking for vague commitment, specify who will do what for execution. Make it personal.

🎯 Highlight peer examples. If parts of the group are already on board, leverage them to motivate others through peer encouragement.

🙌🏼 Track and celebrate progress. Show momentum through regular updates on how the idea is advancing. Recognise contributions along the way.

Steps to take when implementing new software within the Change Management process:

  1. Document - Log all suggested changes, bug fixes, updates in a tracking system. Check how much work they require.

  2. Approve - Evaluate the risks, costs and benefits of each change. Get approvals before making changes. Tell stakeholders when changes will happen.

  3. Test - Thoroughly test changes first before putting them into the live software. Make sure existing features still work.

  4. Deploy - Roll out major changes in phases if possible. Reverse quickly if issues come up.

  5. Communicate - Keep everyone in the loop on upcoming changes and possible impacts.

  6. Get Feedback - After deploying changes, ask users and stakeholders if things are working right. Fix promptly.

  7. Update Docs - Refresh all manuals and documents to reflect changes made.

Following these steps for managing change helps software projects stay on time and avoid problems.
